Joint use of personal data

The Health Insurance Society uses personal information jointly with other operators (including employers) as described below.

1. Joint use with employers of information on the state of appointments for and completion of health examinations and health examination results

  • Purposes of joint use of personal data
    • To effectively ascertain the state of appointments for and completion of health examinations, manage health examination results, and provide follow-up guidance, and thereby promote health management
  • Items of personal data jointly used
    • Names, name numbers, birth dates, genders, email addresses, establishment names, affiliations, addresses, telephone numbers, state of appointments for and completion of health examinations, dates of health examinations, health examination results and findings (items required by law only), names of institutions providing health examinations, locations of institutions providing health examinations, state of use of MY HEALTH WEB, etc. for those undergoing health examinations
  • Scope of persons handling personal data
    • Health Insurance Society health activity staff, Director-General, and Managing Directors
    • Staff in charge of health insurance, heads of divisions or departments in charge of health insurance, staff in charge of health and safety, heads of divisions or departments in charge of health and safety, and industrial physicians at member establishments
  • Purposes of use by persons handling personal data
    • To check on health examination results and provide follow-up guidance and health consultation
    • To ascertain the state of making appointments for and completing health examinations and encourage those who have not yet done so to make appointments and undergo health examinations
  • Names or titles of persons responsible for data management
    • Managing Directors of the Health Insurance Society
    • Heads of divisions or departments in charge of health insurance and industrial physicians at member establishments
  • Acquisition methods
    • The Health Insurance Society’s basic information concerning insured persons is acquired through data transmission from member establishments or their subcontractors.
      Other information is acquired through the individual methods specified by the Health Insurance Society and member establishments. In either case, information is acquired as electronic data or written documents from the individuals concerned, via the web, post, etc.

2. Joint use involving high-cost medical care benefits with the National Federation of Health Insurance Societies

  • Purposes of use of personal data in jointly operated programs
    • To receive subsidy payment of part of high-cost medical care expenses incurred by the Health Insurance Society from the subsidy program jointly operated by the National Federation of Health Insurance Societies (“NFHIS” hereinafter) and health insurance societies pursuant to Article 2 of the Supplementary Provisions of the Health Insurance Act.
  • Items of personal data jointly used
    • Data shown on subject rezepts and items used in the application for subsidy payment (e.g., name, gender, whether an insured person or dependent, whether care was inpatient or outpatient, year and month of examination or treatment, billed amount on rezept)
  • Scope of persons handling personal data
    • The Health Insurance Society’s staff in charge of the subsidy program for high-cost medical care expenses, Director-General, and Managing Directors
    • Staff in charge of high-cost medical care of the NFHIS High-Cost Medical Care Group
    • The NFHIS’s subcontractors (the Japan Productivity Center and partner companies)
  • Purpose of use by persons handling personal data
    • For applications, screening, and decisions in the subsidy program for high-cost medical care expenses and analysis of high medical care costs
  • Names or titles of persons responsible for data management
    • Managing Directors of the Health Insurance Society
    • The General Manager of the NFHIS Health Insurance Societies Support Division
  • Acquisition methods
    • Electronic data is acquired through the NFHIS’s online application system for the subsidy program for high-cost medical care expenses.

3. Joint use with employers of basic information concerning insured persons

  • Purposes of use of personal data in jointly operated programs
    • To facilitate procedures, etc. related to the Health Insurance Society
  • Items of personal data jointly used
    • Names, name numbers, birth dates, genders, email addresses, establishment names, affiliations, addresses, telephone numbers, accounts designated for transfer of health insurance benefits, standard monthly remunerations, standard bonuses, dependent information, income-tax information, etc. of insured persons
  • Scope of persons handling personal data
    • The Health Insurance Society’s staff in charge, Director-General, and Managing Directors
    • Staff in charge of health insurance, heads of divisions or departments in charge of health insurance at member establishments
  • Purpose of use by persons handling personal data
    • Inquiries by the Health Insurance Society to employers concerning personal data, provision by employers to the Health Insurance Society of up-to-date personal data, preparation of written notices of health activities, screening for dependent eligibility
  • Names or titles of persons responsible for data management
    • The Health Insurance Society’s Managing Directors
    • Heads of divisions or departments in charge of health insurance at member establishments
  • Acquisition methods
    • The Health Insurance Society’s basic information concerning insured persons is acquired through data transmission from member establishments or their subcontractors.
      Other information is acquired through the individual methods specified by the Health Insurance Society and member establishments. In either case, information is acquired as electronic data or written documents from the individuals concerned, via the web, post, etc.
